Payroll

Source's payroll capability is its second essential function. Source’s payroll feature handles employee payments, tax calculations, and deductions automatically. It is meant to reduce manual work, minimizes errors, and ensure compliance with regulations. The system supports multiple payment methods, reporting, and integrates with other financial tools to make payroll less arduous and more reliable for any organization.

Payroll Processing

Payroll processing occurs in two steps. Both steps are grouped under the banner, Payroll Processing. The first step is Payroll Calculation. The second step is Debiting and Crediting.

Payroll Calculation

During the first step, payroll amounts (employee paystub amounts, taxes, and fees), are calculated for each employee and your organization. This is done every Sunday at midnight. During this step, each employee's pay amounts will be calculated and their paystub will be made available for their and your viewing.

Debiting and Crediting

During the second step, your account will be debited for your total payroll amounts, and each employee's account will be credited for their paystub amounts. Source will also collect any applicable taxes and fees due to the platform, or to any state, local or national organization so duly authorized to require those fees. This occurs according to the pay scheudle you selected, and on the day you specified to debit and credit accounts. For example, if you choose a bi-weekly schedule with pay day set as Friday, the debiting and crediting will occur every two Fridays, or every other Friday, at 00:00 Eastern Standard Time (EST). The debiting and crediting process should be completed by 5:00AM Eastern Standard Time (EST).

How Employees Receive Their Funds

Employees can choose to have their funds credited to the Source Wallet, or credited to another institution. They will be able to make this selection only once. It will be done during the account creation process. If they do not make a selection, their funds will be credited to their Source Wallet. If they choose to have their funds credited to their Source Wallet, they will be able to cash out their funds. If they cash out to a debit card, there will be no wait times for access to funds. They will be able to cash out their funds to prepaid debit cards, other financial services providers, or their bank debit card.

Payroll Verification

Source has a payroll verification process. It is called Source Payroll Verification. It is an ongoing process. It will occur every Saturday at 00:00 Eastern Standard Time (EST). Source will attempt a preliminary calculation of your organizations total payroll amount, and will send you a Payroll Verification Archive. It will be sent in an official email from The Learmond Corporation. You are required to respond to that email to verify that you have received the Payroll Verification Archive. There are no other ways to verify your payroll amounts. You will not be able to do it by logging in to your Source Account.

The Payroll Verification Archive | Who Will It Be Sent To?

If your organzation designates a CEO, the payroll verification archive will be sent to the CEO. If no CEO is desingated, we will send it to the next available designate, or we will send it to the Authorized Representative.

The Payroll Verification Archive | What's Inside

The Payroll Verification Archive will include all of the following:

  • First Page: A Cover Sheet. It will list your busines name in the format "Payroll Verification Archive - [Your Business Name Here]"
  • Second Page: A Table of Contents. It will list all of the items in your Payroll Verification Archive.
  • Third Page: A Notice of Preliminary Payroll Calculations. It will state what your total payroll preliminary calculation is in the format. "Hello, [Business Name Here],

This is your Notice of Preliminary Payroll Calculation for upcoming pay date, Friday, [Month Day, Year].

Your preliminary payroll calculation is [Total Payroll Amount Here]."

  • Fourth Page: Payroll Amount Calculations for Each Employee. It will list each employee in table format, organized in alphabetical order by last name. It will have Employee Status, Employe Type, Employee Pay Type Amount, Employee Pay Amount for [Upcoming Pay Date].
  • Fifth Page: Notice of Payroll Calculation.

This is your official notice from the Payroll Calculation process. It will say, "Source intends to debit your account for the following amount [Total Pay Amount Here] on [Upcoming Pay Date].

This is your official notice.

If you agree with these amounts, please respond to your official Source Payroll Verification email.

If you do not agree with these amounts, please respond to your official Source Payroll Verification email."

You are free to respond in the ways most suitable to you.

When You Confirm Payroll

When you confirm payroll, Source will proceed with step 2 of the payroll process, the Debiting and Crediting of accounts.

If You Do Not Confirm

If you do not confirm or raise any errors or notices of attention, Source will not proceed with step 2 of the payroll process until all of the errors, or issues you have identified are resolved.

For If Payroll Fails

Source employs automated payroll processing mechanisms. This means, it is open to failures. Failures may include: server errors, system errors, other technical errors. If the automated payroll processing mechanisms fail, Source will manually do every step in the Payroll Processing flow.

Compliance With Source's Payroll Processing Service

It is your responsibility to monitor your account, confirm payroll, or raise any issues of notices of attention that may impact the your business' receipt of the payroll processing service. Source will employ mechanisms and processes to verify each step of the payroll processing flow is done to your business' benefit.
