Employees

Employees are the backbone of your business. Keeping employees satisified in every way is essential to you business. Using a reliable and comprehensive payroll processing system is one of the ways you can keep your employees satisified. Source allows you to onboard employees, and manage essential emplopyee functions related to payroll. These include: Prohibiting an employee, suspending an employee, terminating an employee, rehiring an employee, and promoting an employee. Prohibiting, Suspending, and Terminating an employee are definitve actions against an employee. Promoting and Rehiring employees are definitive actions in favour of an employee. All of these functions impact any business' payroll. Many of them directly impact your business' payroll and others, such as promoting an employee, may impact your business' taxes and your employee's taxes. Each of them are essential functions in the payroll management system and are included with your access to Source's payroll service.

Employee Types

Source supports three employee types. They are: Hourly, Salary, and Contract. Specifying each employee's type is done during the payroll configuration process.

Time Tracking

Source has built in time tracking capabilities. All hourly employees are automatically shown a time clock whenever they log in to their Source account. However, they cannot clock in unless they are within 100ft of the actual work location. Remote Employees cannot clock in unless they are within specified work times. Source's built in time tracking capabilities will eliminate the need for manual time tracking. However, all businesses will have access to the Employee View Panel to verify employee hours.

The time clock is not automatically shown for Salaried or Contract Employees. However, business can opt to show the Source time clock to Salaried and Contract employees for the whole business or individual Salaried and Contract Employees.

Employee View Panel

Each employee, past and present, connected to your organization on the Source platform will have a Source Employee account. You will be able to view and manage each employee connected to your organization on the Source platform from the Employee View Panel.

Onboarding an Employee | The Process

To onboard an employee, log in to your Source account. Locate the Employee card on your dashboard. It will be the seventh card on the dashboard, bottom row, third position. Click the card. It will open to the Employee View Panel. The Employee View Panel is a table with all your employees. It defaults to only showing Active employees. You can filter your settings to show all employees, Inactive employees or only active employees. To connect an employee to your Source organization account, click the blue button in the bottom right corner. It will pop out a small invite form. Input the employee's email, first and last name, and a short message (optional). Then click, Send Inviite. The employee will receive an invite message with a uniqure link to set up their Source Employee account. The link will remain active for 24 hours. Encourage your employees to only activate the link when they are ready to set up their account in one attempt. Attempts cannot be saved, and the link is one-use only.

Prohibiting an Employee | The Process

To prohibit an employee, log in to your Source account. On your dashboard, locate the Employee card. It is the seventh card on your dashboard; bottom row, third position. Click the card. It will open to the Employee View Panel. If your Employee View Panel renders cards, the cards will be in alphabetical order. You can locate the employee by searching for the employee or scrolling through the cards. When you have located the employee, click the card. It will open to the Employee Profile. At the bottom of the Employee Profile are five buttons in this order: Prohibit, Suspend, Terminate, Rehire, Promote. Click Prohibit. It will popout two options, With Pay and Without Pay. Choose your prohibition type. When you select your prohibiton type, it will update the Employee Status field in the Employee Profile View. Confirm your selection has been entered by checking the Status Field in Employee Profile View.

Suspending an Employee | The Process

To suspend an employee, log in to your Source account. On your dashboard, locate the Employee card. It is the seventh card on your dashboard; bottom row third position. Click the card. It will open to the Employee View Panel. If your Employee View Panel renders cards, the cards will be in alphabetical order. If your Employee Profle View is in table format, it will also be in alphebatical order. You can locate the employee by searching for the employee and scrolling through the cards. When you have located the employee, click the card. It will open to the Employee Profile. At the bottom of the Employee Profile are five buttons in this order: Prohibit, Suspend, Terminate, Rehire, Promote. Click Suspend. Employees cannot be suspended with pay. When you click Suspend, it will update the Employee Status field in the Employee Profile View. Confirm your selection has been entered by checking the Status Field in Employee Profile View.

Terminating an Employee | The Process

To terminate an employee, log in to your Source account. On your dashboard, locate the Employee card. It is the seventh card on your dashboard; bottom row third position. Click the card. It will open to the Employee View Panel. If your Employee View Panel renders cards, the cards will be in alphabetical order. If your Employee Profle View is in table format, it will also be in alphebatical order. You can locate the employee by searching for the employee and scrolling through the cards. When you have located the employee, click the card. It will open to the Employee Profile. At the bottom of the Employee Profile are five buttons in this order: Prohibit, Suspend, Terminate, Rehire, Promote. Click Terminate. When you click Terminate, it will update the Employee Status field in the Employee Profile View. Confirm your selection has been entered by checking the Status Field in Employee Profile View.

Rehiring an Employee | The Process

To rehire an employee, log in to your Source account. On your dashboard, locate the Employee card. It is the seventh card on your dashboard; bottom row third position. Click the card. It will open to the Employee View Panel. If your Employee View Panel renders cards, the cards will be in alphabetical order. If your Employee Profle View is in table format, it will also be in alphebatical order. You can locate the employee by searching for the employee and scrolling through the cards. When you have located the employee, click the card. It will open to the Employee Profile. At the bottom of the Employee Profile are five buttons in this order: Prohibit, Suspend, Terminate, Rehire, Promote. Click Rehire. When you click Rehire, it will update the Employee Status field in the Employee Profile View. Confirm your selection has been entered by checking the Status Field in Employee Profile View.

Promoting an Employee | The Process

To promote an employee, log in to your Source account. On your dashboard, locate the Employee card. It is the seventh card on your dashboard; bottom row third position. Click the card. It will open to the Employee View Panel. If your Employee View Panel renders cards, the cards will be in alphabetical order. If your Employee Profle View is in table format, it will also be in alphebatical order. You can locate the employee by searching for the employee and scrolling through the cards. When you have located the employee, click the card. It will open to the Employee Profile. At the bottom of the Employee Profile are five buttons in this order: Prohibit, Suspend, Terminate, Rehire, Promote. Click Promote. When you click Rehire, it will pop out two positions, with or without new posiiton. Select the promotion type. When you select the promotion type, it will pop out another form for you to input the Employee's new pay details, if available. If no new pay details are available, click save. It will update the Employee Status field in the Employee Profile View. Confirm your selection has been entered by checking the Status Field in Employee Profile View.

Employee Designations

Source allows you to assign designations to the employees connected to your organization on the Source Platform. You can assign the following designations to your employees:

(1). Chief Executive Office | CEO

(2). Chief Operations Office | COO

(3). Chief Financial Officer | CFO

(4). Chief Human Resources Office | CHRO

(5). Chief Technical Officer / Chief Information Technology Officer | CTO/CITO

(6). Chief Developement Officer / Chief Project Officer | CDO/CPO

(7). Office Administrator

(8). Manager

All Source allowed designations will have full employee management capabilites. Designations COO through CDO/CPO will not be able to take definitive actions against or in favour of each other. Only the CEO will be able to take definitive actions against or in favour of the Source allowed employee designations.

Our Rationale

The Source allowed employee designations are common positions in most organizations. They often have direct interaction with business partners, each other, the organization's board, and manage department personnel. They are often tasked with overseeing projects, hiring planning, and other department budgeting. Consequently, they are often essential members of any other organization, and any employee management system must accommodate those designations.

The CTO | Our Rationale

Technological advancements has made this position a growing and essential position in most organizations. The CTO can often readily address most technological and system issues in the business. In your organization, the CTO can be your Point-Of-Contact (POC) for Source related issues. They often possess the knowledge to handle most technology and software related issues, and will be equipped to communicate with Source personnel to address individual employee questions.

The Office Administrator | Our Rationale

The Office Administrator often works directly with the CEO and is often the Executive Assistant. They often plan office projects, address employee questions and are often a first point of contact for general administration questions. In many instances, the Office Administrator can serve as a secondary Authorized Representative on the Source Business account.

The Manager | Our Rationale

The Manager is ubiquitous in any organization. They are often your boots on the ground. They manage store fronts, departments, project groups, whole organizations and often have duties extending across finance, employee management, and compliance. The manager is not designated by default. You must set the Manager as designated.

Employee Tax Documents

Source will have full tax document issuance capabilties. Employee tax documents are only available to United States Employees. Tax documents for other locales can be available on demand. All Hourly and Salaried US employees will be issued a W-2 at the end of the Gregorian Calendar Year. All US Contract Employees will be issued a 1099 at the end of the Gregorian Calendar Year.

Business Tax Documents

All businesses within the United States are required to file payroll tax documents either quarterly, semi-annually, or annually. Source will handle full payroll tax compliance for all businesses. This includes document generation and filing.

Compliance With Source's Employee Management Functions

It is your responsibility to monitor your account, and use the employee management functions to your business' benefit. Source will employ mechanisms and processes to aid you in using the employee management functions to your business' benefit.
